1. Who We Are

Poise ("we", "our", or "us") is a subscription awareness and management platform operated by Leadnex. We help individuals and teams automatically detect, track, and manage their software subscriptions by analysing emails in connected inboxes.

2. Information We Collect

2.1 Account Information

When you sign up for Poise, we collect:

• Email address and name (used for your Poise account)
• Workspace name
• Billing email address (if provided)

2.2 Gmail Data (via Google OAuth)

When you connect a Gmail inbox, Poise requests access to read your emails using the gmail.readonly OAuth scope. We use this access to:

• Read email subjects, sender addresses, and email body content
• Identify emails from software vendors, payment processors, and subscription services
• Extract subscription details such as vendor name, billing amount, currency, and renewal dates

We access only emails that appear to be subscription-related. We do not read personal conversations, attachments unrelated to billing, or any other email content beyond what is necessary to detect subscriptions.

We do not store raw email bodies.

Once we have extracted subscription information from an email, the raw email content is discarded. We only retain the structured subscription data we extract (vendor name, amount, dates, etc.).

2.3 Subscription Data We Store

• Vendor / service name
• Billing amount and currency
• Detected billing frequency (monthly, annual, etc.)
• Renewal or next charge dates
• Payment status (active, cancelled, trial, etc.)
• Invoice or transaction reference numbers (where present in emails)

2.4 Usage and Technical Data

• Log data (IP address, browser type, pages visited, timestamps)
• Device and browser information
• Errors and crash reports (for improving the service)

2.5 Payment Information

If you subscribe to a paid Poise plan, payments are processed by Razorpay. We do not store your full card number, CVV, or UPI credentials. We receive and store transaction confirmations (payment ID, plan, amount, date) from Razorpay after a successful payment.

3. How We Use Your Information

• Subscription detection: To scan your connected inbox and identify subscription-related emails
• Dashboard and reporting: To display your subscription list, spending summaries, and renewal timelines
• Account management: To create and manage your Poise account and workspace
• Billing: To process your Poise subscription payments and send payment receipts
• Service improvements: To fix bugs, improve accuracy of subscription detection, and develop new features
• Communications: To send you important service announcements and security notices

We do not use your email data for advertising, profiling, or any purpose beyond operating and improving the Poise service.

4. AI Processing and Third-Party Services

To classify subscription-related emails accurately, we send portions of email content (subject lines, sender information, and relevant body text) to AI classification services. We currently use:

• OpenAI — for email content classification and vendor identification
• Google Gemini — as a fallback AI classification provider

These services process the data on our behalf under their respective data processing agreements. Email content sent to these services is used only for the classification request and is not retained by them for training purposes under our API agreements.

We also use the following third-party services to operate Poise:

• Supabase — database and authentication
• Razorpay — payment processing
• Railway — application hosting and infrastructure
• Google Cloud — Gmail API access and OAuth

5. Google API Data Use

Poise's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. The following applies specifically to data received from Google APIs (including Gmail):

• Not sold: We do not sell Google user data.
• Not used for ads: We do not use Google user data for serving advertisements.
• Not used for AI training: We do not use Google user data to develop, improve, or train generalized AI or machine learning models.
• Limited use: We use Gmail data only to provide the subscription detection service to the user who granted access.
• Human access: We do not allow humans to read your Gmail data unless you have given us explicit permission, or it is necessary for security purposes.
• Transfers: We do not transfer Gmail data to third parties except as necessary to provide the service.
• Revocation: You can revoke Poise's access to your Google Account at any time from your Google Account permissions or security settings.

6. Data Sharing

We do not sell, rent, or trade your personal data. We share data only in the following limited circumstances:

• Service providers: Third-party services listed in Section 4 that process data on our behalf
• Legal requirements: If required by law, court order, or governmental authority
• Business transfers: In the event of a merger or acquisition, with prior notice to you
• With your consent: In any other case, only with your explicit consent

7. Data Retention

We retain your account data for as long as your Poise account is active. Subscription data extracted from emails is retained to provide you with historical tracking and analytics.

If you disconnect an inbox, all data associated with that inbox is permanently deleted within 24 hours. If you delete your Poise account, all your personal data is permanently deleted within 30 days, except where we are required to retain it for legal or tax purposes.

8. Your Rights

• Access: Request a copy of the data we hold about you
• Correction: Request correction of inaccurate data
• Deletion: Request deletion of your account and associated data
• Portability: Request an export of your subscription data
• Disconnect inbox: From Settings → Email Connection at any time
• Revoke Google access: From your Google Account permissions page at any time

9. Security

• All data is transmitted over encrypted HTTPS connections
• Gmail OAuth tokens are encrypted before storage using AES-256 encryption
• Database access is restricted using row-level security policies
• We do not store raw email bodies — only structured subscription data

10. Children's Privacy

Poise is not directed at children under the age of 13. We do not knowingly collect personal information from children.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make significant changes, we will notify you by email or by displaying a notice within Poise at least 7 days before the changes take effect.
